PUBLICATION POLICIES
The GENOMEUTWIN publication policy is designed to encourage scientific publication of all types, while maintaining the highest quality of such publications and ensuring the legitimate interests of all GENOMEUTWIN Partners. The policy refers to papers, abstracts and presentations of unpublished GENOMEUTWIN Data. No such data can be presented or published without the consent of the responsible person of each GENOMEUTWIN Partner. However, these publication rules do not concern the presentations and publications of the MORGAM data, which are covered by existing MORGAM publication rules.
Definitions
GENOMEUTWIN Partners are the research groups maintaining twin registries taking part in GENOMEUTWIN or coordinating the MORGAM Project and/or coordinating GENOMEUTWIN intellectual cores as well as the laboratories genotyping GENOMEUTWIN samples. The Project will maintain the list of partners, their Principal Investigators and key personnel in the world wide web.
GENOMEUTWIN Data refers to data prepared for joint analysis according to the GENOMEUTWIN standards and to the genotypic data generated by the GENOMEUTWIN laboratories from the GENOMEUTWIN samples.
GENOMEUTWIN Publications are publications and presentations derived from unpublished GENOMEUTWIN Data. Other publications can also be considered as GENOMEUTWIN publications, e.g. methodological publications serving directly the GENOMEUTWIN Project.
GENOMEUTWIN Approved Publications are publication proposals that have been approved by the Publication Committee of GENOMEUTWIN.
GENOMEUTWIN Publication Committee, chaired by the Publications Coordinator (PC), is a committee appointed by the Steering Group of GENOMEUTWIN. It approves Publication Proposals, appoints Leaders for Approved Publications, helps the Leader in organising manuscript groups if needed, keeps the list of all publications and presentations by the GENOMEUTWIN project and a publication plan outlining all approved publications, reports and abstracts on the GENOMEUTWIN web site. The Publication Committee furthermore is responsible for obtaining consent from the GENOMEUTWIN Steering Group for all publications.
Leader is a person appointed by the Publication
Committee as being responsible for an approved publication. The leader
is responsible for organising the Manuscript Group, overseeing the preparation
of the manuscript, and for ensuring that the approved publication is
produced within a designated timetable and to a high scientific standard.
The leader for an approved publication will be member of the manuscript
group.
Publication policy of GENOMEUTWIN
The publication rules are specified separately for three types of publications and presentations that can be expected to derive from GENOMEUTWIN:
1. Publications and presentations from individual partners
2. Publications and presentations from collaboration between individual
partners
3. Collaborative GENOMEUTWIN Publications
1. Publications and presentations from individual partners
Individual Partners are encouraged to present and publish results based on their own data by themselves. If GENOMEUTWIN Data are used for such a presentation or publication the GENOMEUTWIN project should be acknowledged. A standard acknowledgement could be "A part of this data originates from the GENOMEUTWIN project which is supported by the European Union Contract No. QLG2-CT-2002-01254". When reasonable the title of an abstract or paper should contain the phrase "GENOMEUTWIN project", and in all cases GENOMEUTWIN should be listed among the key words.2. Publications and presentations from collaboration between individual partners
Collaboration between GENOMEUTWIN Partners on publication of results that can be pooled in a meaningful way is also encouraged, The Publication Committee and Steering Group are responsible for overseeing that such publications are not competing with the collaborative papers, e.g. by deciding on a specified time period within which it is not feasible to publish on phenotypes being analysed in GENOMEUTWIN. The GENOMEUTWIN project should be acknowledged, as stated above. When reasonable the title of an abstract or paper should contain the phrase "GENOMEUTWIN project", and in all cases GENOMEUTWIN should be listed among the key words.
Collaborative GENOMEUTWIN Publications
Publication Proposals
A Collaborative GENOMEUTWIN Publication can be proposed by any Partner. Publication proposals should be submitted to the Publication Committee. The publication proposal should include:
The members of the Publication Committee review the proposal and send their comments to the PC within two weeks. The PC assesses the appropriateness of the proposal, possibly with the help of the Steering Group, and decides whether the manuscript should be accepted as a GENOMEUTWIN collaborative 'Approved Publication', its priority, and who should be its Leader. The GENOMEUTWIN Steering group monitors the progress of the publication.
Rules for authorship
The rules for authorship follow the uniform requirements for manuscripts submitted to biomedical journals (the Vancouver rules) according to which all persons designated as authors should qualify for authorships and all those who qualify should be listed. Furthermore, each author should have participated sufficiently in the work to take public responsibility for appropriate portions of the content. Usually this means that there is at least one author from each Partner that has contributed to the publication with data or analysis.
Collaborative GENOMEUTWIN Publications should be submitted with authorship stated as follows:
Names of authors for the GENOMEUTWIN Project (foot-note)
Foot-note: Annex: Sites and key personnel of the GENOMEUTWIN Project.
Standard acknowledgement
The papers should include a standard acknowledgement: "This papers originates from the GENOMEUTWIN project which is supported by the European Union Contract No. QLG2-CT-2002-01254". When reasonable the title of an abstract or paper should contain the phrase "GENOMEUTWIN project", and in all cases GENOMEUTWIN should be listed among the key words.
Rules for reviews and publication
On completion, the manuscript is sent to all Partners for their approval. The Partners (responsible persons) approve the manuscript for publication and/or send their comments to the first author or the person(s) specified in the covering letter of the manuscript. This must be forthcoming within three weeks, and if no response is obtained the publication will proceed
Any minor modifications that may be necessary, including the list of key personnel, should be made to the manuscript before submission. After approval the manuscript will be submitted for publication.
The Leader and the first author should agree between themselves as to who will be responsible for submitting the paper to the agreed journal, for dealing with reviewers'/ editorial comments, for checking the proofs and for ordering reprints. Anything more than minor corrections arising from the editorial-review process should be discussed with other members of the Manuscript Group and with the Publication Committee. Whoever is responsible for the proofs must inform the PC immediately on receipt of the proofs if there is any problem with the journal complying with GENOMEUTWIN publication policy on authorship, citations or listing of sites and key personnel, so that they can agree how to take the matter up with the journal Editor. Whoever is responsible for ordering the reprints must send copies to other members of the authorship group and all Partners. Alternatively, the publication can be distributed in electronic form (e.g. a hyperlink to a pdf file).
A list of all publications will be maintained in the GENOMEUTWIN website.
Disagreement
If a disagreement arises regarding any GENOMEUTWIN Publication, and the Publication Committee is unable to solve it, the Steering Group can be asked to review the case. If this does not solve a disagreement in a way, which is satisfactory to all the parties in the conflict, the Scientific Advisory Committee can act as conciliator.
Rules for relase of data
All GENOMEUTWIN Partners have the responsibility of ensuring the security
and confidentiality of the unpublished GENOMEUTWIN Data they have access
to. As a general rule, no GENOMEUTWIN Data can be released to a third
party without the consent of the responsible person of each relevant
GENOMEUTWIN Partner.
